Crew booking software for AV production companies
How it works
Create the event. Rank your list. Let it run.
Create an event with its days and the positions to fill — Camera Op, A1, TD. For each position, set a ranked list of who to try, from your saved crew templates or built on the spot.
- See every position's status at a glance — open, contacting, filled, or unfilled
- Include a short personal message with any request
- If the whole list runs out, you're told the position is unfilled — not on show day
- A record of who was asked, when, and what they said

One person at a time. Nothing to babysit.
BookingCue contacts the first person by email and SMS with the gig details and a response window you set. A no, or no answer inside the window, advances to the next name automatically.
- A yes fills the position and skips everyone still waiting
- Overlapping requests on other events are cleaned up — no double-booking
- Late yeses land in a queue where you can hire or decline manually
- Response windows are configurable per company

Requests freelancers actually like getting.
Requests arrive with everything needed to decide in one tap: event, role, date, hours, location. Accept or decline from the message or a dashboard. No app download required.
- SMS replies work — explicit consent per phone number, reply STOP and it stops
- Connect Google Calendar (read-only) to see conflicts before answering — never shared with companies
- Every confirmed gig in one ledger
- A calendar feed puts bookings on their own calendar automatically

Features
Positions fill while you do other work.
Crewing today is a blast to a list, and whoever replies first gets the gig. The best freelancers are busy working and miss it. BookingCue asks your best people first and gives them time to answer.
Priority order, not first reply wins
Email and SMS go to one person at a time, in the order you set. No answer inside the window, and it moves to the next name.
Double-booking prevention
A yes cleans up any overlapping requests on other events. Nobody gets booked twice.
Late reply handling
A yes after the spot filled lands in a queue where you hire or decline manually. A good freelancer who answered late isn't lost.
A record of every ask
Who was asked, when, and what they said — for every position on every event.
Unfilled means told
If the whole list runs out, you find out the position is unfilled right away rather than on show day.
Crew templates
Save ranked lists for recurring roles and load them when creating the next event, or build one on the spot.
Who built it
BookingCue was made by Henry Moore, who spent years as a freelance AV tech before moving to the other side of the table as a technical director and crewer for corporate shows. Booking six positions at a time, he got tired of two things: as a freelancer, the text blasts where the first reply wins; as a crewer, watching coworkers struggle to fill roles he could fill faster by reaching out one person at a time and giving good people time to answer.
BookingCue is that method turned into software. It's built for crewers, but designed by someone who remembers exactly what it's like to be on the receiving end of a booking request — which is why the freelancer experience isn't an afterthought.
